Short-Term Consultancy Services – Translation of Project Documents from Arabic to English

Save the Children International – Sudan Country Office invites qualified and experienced individual consultants and/or consultancy firms to submit proposals for the provision of:

Translation of School Feeding and Financial Supporting Documents from Arabic to English

1. Background

Save the Children International is seeking a qualified service provider to support the translation of project-related documentation from Arabic into English as part of project closure, audit, expenditure verification, donor reporting, and evaluation requirements.

The assignment involves a significant volume of documentation generated through project implementation, including financial, contractual, procurement, operational, and administrative records.

The estimated volume is approximately 9,000 individual documents.

2. Scope of Services

The selected consultant/service provider will be responsible for:

• Translating approximately 9,000 project documents from Arabic into English.

• Translating financial, operational, procurement, contractual and administrative documentation.

• Maintaining the accuracy and original meaning of all documents.

• Ensuring accurate translation of figures, dates, names, references and technical terminology.

• Organizing translated documents in a structured electronic filing system.

• Uploading translated documents to designated Save the Children SharePoint folders.

• Linking translated documents with their corresponding Arabic originals where applicable.

• Maintaining a document tracking log covering documents received, translated, reviewed and uploaded.

• Conducting quality assurance and correcting identified translation errors.

• Maintaining consistency of terminology throughout the assignment.

• Providing regular progress updates and reports.

• Coordinating with the designated Save the Children team throughout the assignment.

• Completing final handover and ensuring that all assigned documents are translated, uploaded and properly organized.

3. Expected Deliverables

The assignment is expected to include, but not be limited to:

1. Inception and Workplan

   • Inception meeting.

   • Detailed workplan and proposed methodology.

2. Translation Outputs

   • Accurate English translations of assigned Arabic documents.

   • Upload and organization of translated documents on SharePoint.

3. Progress Monitoring

   • Updated translation tracker.

   • Regular progress reporting.

4. Final Submission

   • Completion of all assigned translations.

   • Fully organized SharePoint repository.

   • Final translation tracker.

   • Handover report.

4. Duration

The assignment is expected to be for three (3) months, subject to the requirements of the assignment and any agreed extension.

5. Minimum Qualifications and Experience

Interested consultants/service providers should demonstrate:

• Bachelor's degree in Translation, English Language, Linguistics, Business Administration, Finance, Law or a relevant field.

• Minimum five (5) years of professional Arabic-English translation experience.

• Demonstrated experience translating financial, contractual, procurement and administrative documents.

• Previous experience supporting NGOs, international organizations, donor-funded projects or audit assignments is highly desirable.

• Experience handling high-volume translation assignments.

• Excellent written Arabic and English language skills.

• Strong understanding of financial and audit terminology.

• Strong organizational and document-management skills.

• Experience with Microsoft Office and SharePoint/cloud-based filing systems is desirable.

6. Proposal Submission Requirements

Interested and qualified bidders are requested to submit their proposal including:

Technical Proposal

• Company/individual consultant profile.

• Relevant experience and references.

• Proposed methodology and approach.

• Proposed workplan.

• CV(s) of proposed personnel, where applicable.

• Evidence of previous similar assignments.

Financial Proposal

• Detailed financial quotation for the required services.

• Proposed pricing methodology/rates.

• Any applicable taxes or additional costs should be clearly identified.

7. Confidentiality and Data Protection

Due to the sensitive nature of the documentation involved, the successful bidder will be required to maintain strict confidentiality and comply with Save the Children's applicable data protection, safeguarding and information-security requirements.

The selected consultant/service provider may be required to sign appropriate confidentiality and data protection agreements prior to commencement of the assignment.
