Payment Terms

  1. Quotation should remain valid for a period of at least ninety (60) days from the submission closing date.
  2. Payment shall be made via bank cheque or wire transfer within 15 working days from the date of receiving the correct invoice.
  3. Payment shall be made upon verification and acceptance of services according to contract    Purchase order.

Bid Requirements

Offers that do not meet the following will be automatically rejected regardless of price:

  6. Bids must be submitted through CRS Zalingei office for receiving bids.
  7. Offers must be clean & clear. The vendor should sign and stamp next to handwritten corrections or corrections made with whiteout. 
  8. Offers must be complete from all sides, signed, dated, and stamped on all pages.
  9. Deliverable schedule should be attached
  10. Specific materials such as (pumps, type of cement Atbra Portland to be checked by CRS field representative before commencing any implementation step)
  11. The footing hole and trench depth must be approved by the CRS field staff representative before beginning any implementation steps.

Scope of Work for Upgrading of borehole to–Water Yard in Fanga Suk village NJM locality.

Catholic Relief Services (CRS) – United States Conference of Catholic Bishops, an international relief and development agency, committed to the alleviation of human suffering, development of people and fostering of charity and justice in the world irrespective of race, creed, or nationality.

CRS seeks qualified entity specialized and experienced in water industry and construction of water systems (including water wells, water pumping components, solar energy set, elevated water storage and distribution pipework etc.) to work in Fanga Suk village in North Jabal Marra  locality - Central Darfur State; the activities include upgrading borehole to mini-water yard consists installation of submersible pump, solar energy unit, 3 water distribution points and one cart filling within fencing of elevated tank, installation of elevated water tank, water pipework, and fencing of borehole and component of the system, during the period from 20th Dec 2025 to  10th Feb 2026.

Primary Functions:

Under the overall guidance and direct supervision of CRS WASH Senior project officer (SPO), the contractor upgrade one borehole to mini-water supply, storage, and distribution system in line with technical guidelines of Water and Environmental Sanitation Project (WES)-Sudan and CRS field staff.

The contractor’s responsibilities:

The specific tasks of the contractor under this scope of work should be implemented under direct supervision and instructions of CRS field staff, and each completed stage of the work should be accepted and approved by CRS field staff, and the contractor should implement and complete any required repair or amendment before starting the next stage, the contractor will be committed to show all materials with recommended specification on work location then checked by CRS WASH focal person before start any next step of implementation. specific materials intended to check such as (type of submersible pump-GRUNDFOS, polythene pipe -HDPE, cement Portland -Atbara), the contractor should be assigning specific Engineer at the field work site and equip him with a signed (scope of work and BoQ) and the work will execute as it’s. the work includes, but is not limited to the following:

  1. Construction a fence around borehole: (At: coordinate: Long E: 24 .63415 Lat N: 13 276541 altitude: 1081 m)
    1. Provide and install materials for construct fencing around borehole size (4m*4m*2m high).
    2. using heavy duty steal or galvanized poles (Angles or pipes) 2 meters high with spacing 2 meters or less, the hole of fencing pillars should be Deeping 50cm.
    3. install gate door (2m H*1m W) supported with control padlock.
    4. The fence should be constructed with good, barbed wire gabion 4mm roll 10m length*2m high, including mesh rolled and support on top, middle, and bottom by tight barbed wire to prevent twists.
  2. Supply and Installation of Submersible pump and pipework:
    1. Supply and install of SQ 5-70, Grundfos submersible pumping device with the following technical characteristics: average flow rate of 8m3  at  head 73m, Supply and install pump power IP 1.85kW -12.3A, U voltage 200-240V, inverter match with pump nominated, Power supply frequency: 50 Hz, Nominal voltage:200-240V, this pump to be installed at pump sitting depth (P.S.D) of 50m.
    2. . Supply and lay all electrical cables 130m (4x6mm2 flat drop cable) plus accessories from borehole head works to control panel –preferably Grundfos model. The rising main from the pump to the ground surface should be of galvanized pipe or stainless-steel pipe.
    3. . The outlet of the rising main at borehole source is 60m, equipped with nonreturn and gate valves.
    4. . provide and install high density polythene pipe of 2” inches diameter total length      70m to connect the discharge point, at the borehole level, with the galvanized (GL) pipe to connecting with the inlet of the elevated water tank, the remining of pipe work such as from elevate tank to three (3) distribution points tap stands and cart filling.
    5. . Excavate trench of one 1 meter depth and 600 meters long extended from the water well to the elevated water tank, health facility including three (3) distribution points system for installing of the water pipe, the rough portion of trench should be backfilled with 15 cm-thick soft soil layer under the pipe and 25 cm-thick layer above the pipe then complete back filling of the remaining portion with the cutting excavated from the trench or alternative suitable soil materials. 
  3. Supply and Installation of Solar energy unit on top of tank within fencing consist of elevate tank, first distribution point: (at long: E: 24.633825 Lat: N 13.27673 altitude 000).
    1. Provide and install complete solar energy unit with all accessories, such as install mounting structure (4m*4m) degree 15.
    2. Supply and install 8*300W polycrystalline solar panels to support steel frame stanchion (4m x 4m) at 15 degrees on the top of tank to power submersible pump.
  • The solar unit should be installed on the top of tank 60 meters away from the water borehole.
  • Solar panels should be installed on heavy duty steel or galvanized skeleton/mounting on top of elevated tank to mitigate the risk of easy stealing of the panels.
    1. Provide materials and construct tight fencing (15m*10m) around the solar panels, distribution point and elevate tank together using heavy duty steal or galvanized poles (Angles Ukrainian or pipes) 2.5 meters high including depth of paillers’ holes with spacing 2 meters or less, and barbed wire equipped with door (2m*2m) and padlocks (distribution point should be split by partition has door 2m (H)*1m (W) from elevated tank). The holes poles of fencing should 50cm depth fix with concrete.
    2. Construction of the fencing should be tight by barbed wire at top. Middle, and bottom to prevent twists.
    3. Fencing also should be supported by rolled mesh wire on the top will be carried at end of Y-shape 40cm which is welded at the end of each steel pillar.
    4. All the pillars steel of fencing shall be painted by blue paint.
    5. Construction ground of all areas of fencing (15m*10m) by red brick or stone, cement, sand mortar 20cm thick to accommodate the bottom edge of wire fencing then lay concrete slap 5cm above, including derange water channel.
  1. Supply and Installation of steal water tank and tower at place (same fencing around solar, distribution point with carts filling: (at long: E: 24.633825 Lat: N 13.27673 altitude 000).
    1. Provide and install cylindrical steal water tank made of mild steel plates, capacity 20m3, placed on steal tower 4-meters height, with the main requirement including, but not limited to, the following:
  • The bottom plate should be 6 mm thick, the side plate 5 mm and the top cover 4 mm thick.
  • Paints: The tank shall be painted with antirust prime coat. Two other coats shall be applied as follows. a) Internal coating shall be of bituminous non-toxic paint. B) External shall be painted with silver coating of approved oil paint.
  • The inlet connected to the supply pipeline with galvanized pipe 2 inches diameter.
  • The outlet connected to the distribution pipeline with galvanized pipe 3 inches diameter.
  • The water tank should be equipped with a water level indicator with a ladder to support the chlorination process.
  • Water level indicators shall be coated with white background and red graduations.
  • Water tank should be disinfected before starting the supply of water to the consumers.
  • The tank should be equipped and supported by guardrails 0.80cm high* 1m away from each tank side.
    1. Fabricate and erect steal tower of 4 meters according to standard specification and guideline of Public Water Corporation (PWC).
  • Casting of reinforced concrete foundation for the supporting tower.
  • Foot plate and top plate thicknesses shall not be less than 16mm.
  • Holding down bolts, nuts and washers shall be supplied completely with adequate sizes but not less than 16mm and 4 anchor bolts are decided to be used per footing.
  • The supporting tower should be fixed on the foundation using the anchor bolts after the concrete attains its full strength after 10 days of concrete placement.
  • Tower shall be painted with antirust prime coat, and bituminous black paint.
  1. Supply and Install distribution pipeline 3” to reduce at the end by using reducer GI 3” *2”: -
    1. Supply and install high density polythene pipeline of 3” diameters and 10 meters length and connect with descending GL pipe from the elevated tank to distribution point.
    2. Supply and install ascending inlet GI pipe 2” diameters and 8 meters length and connect with transmission pipeline from well up to the elevated tank.
    3. Supply and install descending outlet GI pipe 3” diameters and 6 meters length and connect with discharge high density polythene pipeline 3”.
    4. Connect 2” diameter pipeline with 3” diameter pipeline descending from elevated tank using reducer 3” *2” to connect with distribution point has 12 taps including branch line to cart filling this is first distribution point inside fencing of elevated tank.
    5. Supply materials and install high density polythene pipeline of 2” diameters and 250 meters length to join health facility.
    6.  Supply for construction distribution point (6m*4m) near market and install high density polythene pipeline of 2” diameters and 100 meters length from elevated tank to join market distribution point this is second distribution point.
    7. Supply materials for construction distribution point (6m*4m) inside community area and install high density polythene pipeline of 2” diameters and 250 meters length from elevated tank to join community distribution Point, this is third distribution point.
  2. Construction of three (3) tap stands:
    1. Construct tap stand of 12 taps per each connected to 2” GL pipe equipped with gate valve, installed on platform built of red bricks, and cement-sand mortar.
    2. The platform construction: The foundation of the platform should be of minimum 1.5 m width, 3 m long, and (0.3 m to 0.5 m) depth.  The height of the platform is 0.6 m, with 1.25 m height of the tap stand.
    3. Provide and cover the top and sides of the platform with white tiles.
    4. Provide plumping materials and connect the tap stand with the water main line with 2” size high-density polythene pipe and each branch line should have 2 valves with build manhole size (1m (L)*1m (W)*1m (D)) with cover and equipped by padlock.
    5. Fabricate 2 moveable steel animal trough sized 3m L*0.45m H*0.6m W bottom*0.90m W top outside the fencing area and extension polythene pipeline 2” from the tap stand to moveable animal trough controlled by valve with tap 1”, this only at one site of main fencing of elevated water tank.
    6. Supply and installation of a visibility sign board fabricated from pipe (8*4) or angle Ukrainian 1.5” with inscriptions and logo (1.5m L*1m W*2m H) the message will be provided by CRS for indicate implementor and donor.
